Purpose
This policy defines how ConvoPhoto responds to requests for personal information from law
enforcement agencies, regulatory authorities, or other government bodies, ensuring disclosures are
lawful, limited, and appropriately documented.
Scope
This policy applies to all requests for access to personal information held by ConvoPhoto, including
photographic images, contact information, and transaction-related records.
Guiding Principles
ConvoPhoto is committed to protecting personal information and will only disclose information to law
enforcement where legally required or permitted under applicable Canadian laws. Disclosures are
limited to the minimum information necessary to satisfy a valid request.
Conditions for Disclosure
ConvoPhoto may disclose personal information to law enforcement only under one or more of the
following conditions:
- A valid court order, warrant, subpoena, or production order is presented
- Disclosure is required or authorized by applicable federal or provincial law
- Disclosure is necessary to comply with a legal obligation or regulatory requirement
- Disclosure is necessary to investigate or prevent suspected fraud, security incidents, or other unlawful
activity, where permitted by law
Review and Authorization
All law enforcement requests are reviewed by designated leadership prior to disclosure. Requests are
assessed for legal validity, scope, and necessity. ConvoPhoto does not disclose personal information in
response to informal, verbal, or incomplete requests.
Data Minimization
When disclosure is required, ConvoPhoto limits the information shared to what is explicitly requested
and legally required. Bulk disclosures or access to full systems are not permitted.
Notification
Where permitted by law, ConvoPhoto may notify affected individuals or institutions of a disclosure
request. Notification is withheld where prohibited by law or where it could compromise an active
investigation.
Documentation and Recordkeeping
ConvoPhoto maintains internal records of law enforcement requests and disclosures, including the
requesting authority, legal basis, date, scope, and information disclosed.
Data Security
All disclosures are transmitted using secure methods appropriate to the sensitivity of the information
involved.
Policy Review
This policy is reviewed periodically and updated as necessary to reflect changes in legal requirements
or operational practices.
